Items difficult to obtain

Some items arrive with the restriction that they are In-Library-Use Only. This means that the item cannot be taken from the library’s premises. However, you are welcome to view the item while at the library. This restriction is set by the lending library.

TIP: one of the best ways to request physical items is through NAU’s Quick Search bar. Simply search for the item you would like to borrow, click holdings, and then click “Request from another library” and an auto-filled form will populate. Check that the citation is correct, then click “Submit Request” to make your request.

Otherwise, requests are submitted through your ILLiad account page.

First search the catalog to see if the library owns the item. If the library owns the item, you can on the item.

If the library does not have the item, click “Access your account” on the right side of this page to access your ILLiad account page. The first time you log in, you will be asked to complete a form for new users.

Once on your ILLiad account page, select the type of request you would like to place from the “Make requests” menu. Fill out as much information as possible.

• Each item requires a separate request.
• Enter as much citation information as possible. Avoid abbreviations.
• When requesting a book, please supply the title, author’s name, and the edition or date of publication, if known.
• If an item is needed by a specific deadline, please indicate that date in the Not Needed After field. If the request cannot be filled by that date, it will be canceled.

Articles and book chapters

An email will be sent to you when the item has been received. Use the view requests menu on the right-hand side of your DDS  and select “My Articles & Chapters.”

Books and other physical items

Books and other physical items will be shipped either to the Cline library Ask Us! Desk or to an address, depending on your distance from the Flagstaff mountain campus. Go to and choose a pickup location. Options include:

• Cline library Ask Us! Desk: available to individuals residing in the Flagstaff area.
• Home delivery: available to NAU faculty, staff, and students residing outside of the Flagstaff area (enter mailing address and phone number for delivery)
• Add a borrower: If you would like another person to pick up your item for you, you can add them as a borrower to your library account.

Yes, if you live 30 miles outside of Flagstaff and within the continental US, we will ship your materials via FedEx at no cost to you.  Please contact us for more information.

Articles and book chapters

Available online in your for 60 days. Downloaded items can be kept indefinitely.

Books and loaned materials

The due date is on the cover sheet attached to the item. You can also view the due date in . Due dates are set by the lending library.

Can I renew an item?

When you pick up a book or other loaned item, the cover sheet will indicate if the lending library will allow the item to be renewed.  Please request a renewal within seven (7) days of the item’s due date. Each item may be renewed no more than once.

• go to your

• select the transaction number for the item you want renewed
• select renew request

We’ll notify you by email if the renewal was approved or denied.

Until you receive approval, you are responsible for returning the item by the due date.

Return items to Cline library’s Ask Us! Desk or book drop.

Online users and those residing more than 30 miles from the Flagstaff mountain campus should use the provided shipping label to return materials at no charge.

Item requests may be denied for a number of reasons. The email you receive indicating your item has been cancelled includes the reason that your request was denied. Some possible reasons are:

• there were not any libraries willing to lend out the item
• there wasn’t enough information provided to fulfill the request
• we could not fill your request by your deadline

Articles and book chapters

Articles and electronic materials do not have a due date and therefore cannot be overdue. However, your electronic materials will become unavailable from your document delivery account after 60 days. You are welcome to download the material at your convenience to keep in your personal files.

Books and other physical items

The strap that accompanies books and other physical items includes the due date for the item. Any items returned after this due date will be considered overdue.

For overdue books, a replacement fee of $110 will be assessed to your account, and your library privileges will be suspended.  If you return the item to the Cline Library immediately, we will reduce the fee to a $10 non-refundable overdue fee.

We work hard to maintain a good reputation among lending libraries and, as such, must return our borrowed materials in a timely manner. You can help us do that by returning your items on or before the due date listed on the strap.

If items are needed past the due date

If renewals are allowed, place a renewal request (see “How long can I use them?” for instructions).

If the renewal request is denied, an item cannot be renewed, or the renewal is not long enough, place a new request for the item and we will try to obtain another copy from a different library for your use.

Extenuating circumstances

If your book becomes overdue due to extenuating circumstances, please contact DDS and speak with a staff member.

Fines and Fees

We honor our reciprocal agreements & memberships (AZNet – Amigos – BCR – LVIS – Rapid) for copies, loans, and media. However, we charge non-reciprocal libraries $20 IFM and $25 invoice for copies and loans.

Book loans outside of the U.S. are $35 IFM only, and borrowers must indicate IFM charges “OK” or we cannot lend.

Media loans are $22 IFM or $25 invoice and are one (1) week checkout only.  DDS does not lend media outside of the continental United States.

Policies

We do not lend special collections, archives, reserve materials, maps, computer files, microforms, newspapers, periodicals, or current periodical issues. We lend from our electronic collections if the vendor license permits.

Lending Billing

Transactions that are 8 weeks overdue or more will be sent to Billing Pending.

Before being billed, several different shelf checks are performed on the requests in question. If not found, the borrowing library will be billed.

Replacement books sent in lieu of the fee should be exact replacements of the same edition and need to show which ILL request number they are in reference to.

The replacement fee for lost or damaged NAU items is $125.

The copyright law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted materials. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specified conditions is that the photocopy or reproduction is not to be “used for any purpose other than private study, scholarship, or research”. If a user makes a request for or later uses, a photocopy or reproduction for purposes in excess of “fair use,” that user may be liable for copyright infringement. NAU Libraries reserves the right to refuse to accept a copying order if, in its judgment, fulfillment of the order would involve violation of copyright law.
